Our terms and conditions offer a simple and straightforward way of understanding how best we can work.

 

Confidentiality

Everything discussed in client sessions conducted at The Modern Mind Lab will remain confidential apart from Risk Management issues. All information disclosed within sessions is completely confidential and may not be revealed to anyone without your written permission except where disclosure is required by law. The Modern Mind Lab are registered practitioners. This requires us to hold a membership for a recognised, professional body, to ensure we meet national standards for our professional training, performance and conduct and to maintain the highest standards of practice. The Modern Mind Lab attends supervision with a more senior practitioner on a bimonthly basis and as or when needed. This is to ensure The Modern Mind Lab are working to the code of ethics and have the opportunity to discuss client work and professional development. Whilst supervision will require the discussion of client content, it will not reveal clients’ names or other identifying information. Supervisors are also bound to keep content completely confidential. The Modern Mind Lab must comply with the legal obligations of the General Data Protection Regulations (May 2018).

 

Accreditation

Sarah Dickens of The Modern Mind Lab is registered with The National council of Hypnotherapy ID10748, Complementary and Natural health care council IDCNHC06887.

Insurance

The Modern Mind lab is fully insured for Professional Liability, Public Liability and Product Liability.

 

Risk Management

If during a session, we become aware of what we deem to be a ‘High-Risk Issue’ then they will immediately discuss this with you. There are several reasons for this which include, risk of suicide, or harm to others such as abuse or violent behaviour. The Modern Mind Lab is required to report such issues and seek further advice. This might entail referring to additional agencies, for example, Social Services and, or, your GP. All risk management is coordinated with our supervisor to ensure we meet the code of ethics standards.

 

Record Keeping and Data Management

Case Notes – We may keep a file of handwritten case notes to assist them in recalling information that would help clarify and assist them in the development and progress of sessions. All notes taken by The Modern Mind Lab will be kept securely for a period of up to three years after sessions have ended. At the end of this period, case notes will be destroyed. 

 

Assessment and Consultation Tools

Assessment tools can be used within the sessions. These tools can help to track and monitor progress in different areas. All assessment and consultation tools used by us at The Modern Mind Lab will be kept securely for a period of up to three years after sessions have ended. At the end of this period, case notes will be destroyed. 

 

Appointments

All client appointments, scheduling, contact and payment information is held online. This system is only accessible by an account holding practitioner at The Modern Mind Lab. Information stored here remains completely confidential and is stored securely in accordance with our Privacy and GDPR policies.

 

Personal Boundaries

Physical contact is inappropriate at any time. You may, however, liaise via text, phone or email to clarify session times or to note session absences. In order to respect privacy and discretion, The Modern Mind Lab may discuss with you how you might interact if there is a chance of meeting in a social setting outside of The Modern Mind Lab.

 

Clinical Supervision

As mentioned above, The Modern Mind Lab will receive regular clinical supervision. These sessions are used to monitor, guide and improve upon current practice. During supervision, whilst your session content may be disclosed, client names and sensitive information will not be revealed in accordance with ours and professional counselling standard policies and confidentiality will not be breached.

 

Non advisory

The Modern Mind Lab are neither qualified nor ethically able to advise clients in respect of practical aspects of the presenting issues.

 

Reciprocal Commitment and Continuity

The Modern Mind Lab is committed to ensuring our hypnotherapy and psychotherapy service is open to you for as long as you need it. Whilst we provide open-ended therapy or an agreement of a set amount of sessions, there will be a contract in place between yourself and The Modern Mind Lab to ensure regular and continuous therapy. Sessions will be agreed between yourself, and The Modern Mind Lab and weekly sessions will continue to run on the same day, at the same time and in the same location. We do also offer one-off sessions, top-up sessions where availability allows. 

We do expect a reciprocal commitment to sessions offered to you by The Modern Mind Lab. Please ensure you arrive promptly and ready to engage. Please be advised that sessions will end on time and will not be extended due to late arrival.

It may be suggested to you by The Modern Mind Lab to work on additional tasks in between sessions. This should be prioritised in order to gain the most from sessions at The Modern Mind Lab. We see this as an important element in your commitment to therapy with us.

It is likely that you will find you are not able to make a regular commitment to sessions. In these circumstances, we may, at our discretion, terminate the regular commitment and offer ‘ad-hoc’ sessions. However, on an ad-hoc basis, we will not be able to guarantee any degree of certainty to booking a future session; this is due to The Modern Mind Lab other ongoing and regular commitments.

 

Fees

The fee depends on the service you require and is for a 50-minute session unless stated. All fees are to be paid by Credit or with Debit Card prior to your session, The Modern Mind Lab will use a payment link through sum-up or internet payment via stripe from our website. We also have a  PoS sum-up system to take payment for in- house sessions in advance at your previous session.

 

Our Cancellation Policy 

Cancelling Individual Sessions:

If you are unable to attend your session the following terms apply:

  • We operate and require a 48-hour notice cancellation policy. 

  • Absence with less than 48 hours’ notice, or a ‘no show’ will be charged the full fee. Please inform The Modern Mind Lab as soon as possible. It may be possible to provide you with an alternative session for that week and avoid a cancellation charge if the reason for cancellation is deemed as an emergency.

  • If The Modern Mind Lab is unable to attend a session, we’ll inform you as soon as possible and you will not be charged. We may be able to offer an alternative session for that week.

 

Ending Sessions

If you are thinking about ending your current sessions, please make it known to The Modern Mind Lab so we are able to facilitate a planned ending. Whilst this agreement can be cancelled or terminated by notifying The Modern Mind Lab with 7 days’ notice we recommend you discuss ending your sessions with us and agreeing on a final date.

The Modern Mind Lab Complaints Procedure

The Modern Mind Lab will welcome any opportunity to discuss any difficulties that may arise regarding your sessions and will work with you to help resolve this. If your situation remains unresolved, please raise your concerns with Sarah Dickens who can be contacted via email: Themodernmindlab@gmail.com with the subject heading ‘Complaint’. We understand that raising concerns about therapy is not always easy however we can assure you of a sympathetic response and will work hard to ensure you are satisfied with the outcome.
